Cornerstone Christian Fellowship, located in Jacksonville, FL, has a thriving nursery and Sunday School program with many volunteers to meet the need for teachers. However, like many churches, they had no effective way to schedule and manage their volunteers. The teaching schedule was written out in Microsoft Word, printed, and hung on the bulletin board at the church. Not only did each teacher have to be manually entered into the document, the calendar had to be hand typed as well. The entire document was emailed to every teacher in Word format. In the event someone was unable to work on their scheduled day, a phone call or email to the administrative manager had to be made, additional calls or emails were made looking for a substitute, and the document had to be updated and re-printed and emailed.

Challenge

Cornerstone Christian Fellowship’s challenges included the need to:

• cut down on repetitive data entry.
• improve schedule creation process.
• proactively keep teachers informed.
• centralize the calendar for everyone involved.
• streamline the substitution process.

Solution

• stored teacher information for quick addition to the calendar.

• web based calendar allowing administration and teachers anywhere, anytime access to information.
• substitutions handled by teachers through the website and email eliminating the involvement of the administrative manager.
